Business Support Administrator - Northern Ireland Fire and Rescue Service - Lisburn

An excellent opportunity has arisen to join Northern Ireland Fire & Rescue Service in Lisburn as a Business Support Administrator. In this role, you will provide a modern, efficient and customer-focused administrative service, supporting the Corporate, Governance & Improvement team and contributing to the effective delivery of organisational objectives.
 
About the role:
  •  £15.38 per hour
  • Monday to Friday
  •  36.25 hours per week
  •  Up to 3 months duration, with possible extension

What you'll be doing in this role:
  • Provide an effective reception and switchboard service, acting as first point of contact for callers and visitors to Headquarters providing advice, assistance and directions as necessary
  • Manage general telephone enquiries efficiently and professionally, signposting enquirers to appropriate contacts or providing advice and information as appropriate.
  • Monitor general enquiries received through the enquiries electronic mailbox and draft responses as necessary or refer on as appropriate in a timely manner.
  • Control of access in and out of the main Headquarters building and car park, including maintaining visitor’s logs and issuing of visitor badges and the management and distribution of ID passes for all personnel.
  • Direct safeguarding calls and concerns to the Safeguarding lead or duty officer in line with the Safeguarding procedure.
  • Provide a modern, efficient, professional and customer-focused administration service providing administrative support for meetings (including preparation of agendas, minute taking and any follow up administrative tasks) and multi functional projects.
  • Prepare and collate information, letters, memos, statistics, reports and other documents, including confidential information, for use by management, committees or working groups.
  • Provide advice, guidance, assistance, and support, as required, to other staff on current administrative processes.
What you'll need for this role:
  • Possess at least 5 GCSEs at Grade C or above, or equivalent, to include English and Maths 
  • Have at least 2 years’ experience of working in a demanding office environment, carrying out a range of business support tasks including scheduling and administrative support for meetings.
  • Demonstrate a working knowledge of Windows and Microsoft applications, to include, Word, Excel, and Outlook.
  • Effective planning, organisation, prioritising skills and attention to detail
  • Ability to work individually and as part of a team
  • Effective Communication skills (both written and oral):
  • An ability to produce timely and accurate information
