About the role:
- £14.35 per hour
- Based in Belfast
- Monday to Friday
- 37 hours per week, 9:00am - 5:00pm
- Holidays: 35 days pro rata
- Duration: Temporary, ongoing
- Closing Date: 10am on Monday 29th June.
You will be reporting to the Building Services Manager for ensuring the NIHE is fully compliant with its statutory and regulatory duties to its customers, employees, and third parties and to assist in the management and co-ordination of the planned and cyclical servicing and maintenance programme for the specialist mechanical and electrical equipment in NIHE Offices, Depots, High Rise Residential Blocks and Hostels.
What you'll be doing in this role:
- To gather and analyse information for the Building Safety Management
Team and assist with the preparation of all necessary reports on updates across
all of the areas of Building Safety Management as required.
- To provide support as required for the Building Safety Management Team
(e.g. PRG Report / Building Safety Team Meetings), including arranging, planning,
and producing minutes, documents, papers as well as any other general duties.
- To ensure that all building safety information (discussions / meeting /
inspections, checks, etc) are adequately and fully documented and stored
currently on Building Safety “shared drive”.
- To assist the Building Safety Management Team in the development of new
policies and in the transiting of these through the Policy / Policy Review
processes.
- To facilitate the identification, evaluation, monitoring and reporting of
occupancy characteristics within the in-scope Higher Risk Residential Buildings
(HRRB’s) on a monthly basis in terms of voids, leaseholders, etc.
- To ensure all risk issues identified through the Building Safety Management
Team are recorded and updated manually both on the Risk Register and new
Asset Register system.
- To respond to queries, issues, and problems encountered with data
collection, and analysis and liaise with staff within the Building Safety Management
Team to ensure information is provided in a timely manner.
What you'll need for this role:
- BTEC Higher or equivalent qualification PLUS one
year’s relevant administrative experience
- OR BTEC National or equivalent qualification PLUS 2 years'
relevant administrative experience
- OR Can demonstrate equivalent continuing professional
development/experiential learning AND a minimum of 3 years’
relevant administrative experience
- Must demonstrate significant experience in all of the
following:
(a) Experience of undertaking general administration tasks including data extraction and providing analysis and minute taking
(b) Experience of communicating effectively with both internal
and external stakeholders
(c) Experience of using IT support systems for document
storage and retrieval
(d) Experience in the use of IT applications including MS

- Possess a full current UK driving licence or have access to a form of transport
- As part of the reference checking and vetting process for this position you will be requested to undertake a Basic AccessNI Disclosure. Having a criminal record will not necessarily be a bar to obtaining a position.
