About the role:
  • £12.31 per hour
  • Monday - Friday 9am - 5pm
  • 37.5 hours a week
  • Location: Lagan Valley Hospital
  • Temporary role for 4 - 5 months with possible extension

What you'll be doing in this role:
  •  Record and co-ordinate referrals received into and onward referral out of service, ensuring accurate and timely records.
  • Ensure clinic capacity is fully utilised to optimum levels through the close monitoring of available clinic slots taking appropriate action where possible.
  •  Monitoring waiting times for clinical areas assigned to ensure waiting time targets are achieved; highlighting any areas of slippage.
  • Liaise with clinical staff regarding allocation of appointments and ad hoc clinics, and rebooking clinics/appointments when necessary.
  • Undertake appointment scheduling in line with service requirements.
  • Ensure results of tests, investigations and correspondence received are recorded, vetted by the relevant Clinician and scanned into the appropriate patient’s medical notes 
  • To organise follow-up  internal and external appointments by use of a computerised system ensuring patients are notified of their appointments within agreed timescales
What you'll need for this role:
  • 4 GCSE’s Grades A-C to include English Language (or equivalent Qualification) OR NVQ Level 2 in Administration (or equivalent qualification) plus 1 year’s experience working in a healthcare / business environment undertaking administrative and secretarial duties
  • OR year’s of experience working in a healthcare / business environment undertaking administrative and secretarial duties
  • Experience in using Microsoft packages to include Word, Excel, and Outlook
  • 1 year of experience servicing meetings and taking minutes
  • Experience in use of office admin systems such as diary management and filing systems
  • Hold a full current driving licence which is valid for use in the UK and have access to a car on appointment
  • Experience of digital dictation systems such as Med speech is desirable
